Job Description:

Provide high-level administrative support to the General Manager, as well as to Human Resources and Finance organizations. The administrative assistant is a critical member of the support staff and provides personalized clerical and organized administrative support as needed in a professional and timely manner along with being flexible and organized to meet the demands of our growing organization.

Duties and Responsibilities:

  • Act as liaison between leadership/executives and internal/external customers.

  • Maintain an efficient flow of information between all levels of the organization including internal and external contacts on a wide spectrum of plans and priorities but at the same time, manage highly confidential and sensitive information with the utmost discretion.

  • Prepare information and research for the leadership team’s needs, as required.

  • Perform clerical duties, taking notes, organizing and maintaining files, and organizing documents; photocopying, faxing, scanning, collating, etc., as needed. Manages schedules and arranges meetings, Skype meetings and conference calls; provides reminders, follow-up as needed. Maintains and orders office supplies for supporting organizations.

  • Answering phone inquiries, directing calls and providing basis company information.

  • Arrange travel, accommodation, itinerary and all correspondence related to arrangements as needed. For international travel, prepare and submit appropriate documentation - International Foreign Travel Request and Communications Upgrade Request. Prepare and submit Concur expense reports.

  • Plan, organize and implement events such as business meetings, business luncheons, or dinners.

  • Assist in planning employee/company events, meetings and employee team building activities or special projects.

  • Coordinate and prepare reports (i.e. Weekly Highlights Report, Business Area Segment package), presentations, and data, as well as maintaining files, records, and correspondence for meetings as applicable. Coordinates and administers a weekly Visitor Log working alongside with Trade Compliance and Security for clearance purposes.

  • Work independently and within a team on special and ongoing projects when necessary.

Requirements:

  • Minimum five years’ prior experience in mid to senior-level Administrative Assistant.

  • Experience working with Microsoft Office Suite (Word, Outlook Calendar, PowerPoint and Excel).

  • Previous experience working in a fast-paced environment with multiple tasks and projects at hand.
